How to use the Verification module?

User guide for the "Verification" module

In the Toovalu software, you have the option as a pilot to supervise the progress of your collection thanks to the "Verification" module.

First of all, it is important to clearly differentiate between Verification and Validation.
The Verification is the main module that allows you to track the progress of the collection, while Validation is a step within the Verification module.
It is possible that the validation process for the pilot is not activated on your project. To activate it, you can go directly to your project's homepage (by clicking on your project's name), and click on "Activate the data validation process for the pilot".


With the Verification module, you have the ability to easily check the overall status of your collection and by entity in order to quickly prompt your collectors if needed.

The different validation statuses

With the activation of the validation process, the data from your collection can obtain 5 different statuses depending on the progress of the collection and the actions you take as a pilot of the project.

  • The status "To be completed": no action has been taken on the line in question. This is the default status.

  • The status "In progress of collection": the collector has indicated that the data is currently being collected by clicking on the bookmark at the top right of the data sheet for a collection line.

  • The status "To be validated": the data has been collected, and it is awaiting validation from the pilot.

    To validate this data, you can go to the "Verification" module, then to the "Validation" tab.

    You will have access to all data awaiting validation, and you will have the option to validate or refuse the collected data. In case of a refusal, by clicking on the data in question, you can write a comment for the collector to explain why you are refusing the validation.

  • The status "To be corrected": the data has been refused by the pilot, and is awaiting correction by the collector. Once the data is corrected by the collector, it will go back to the status "To be validated".

  • The status "Validated": the data has been collected and validated by the pilot.

What does a collector see

The status of each line is indicated to the collector by a logo on the right of the collection line, which is explained by hovering over it:

  • "To be collected" is symbolized by a pencil

  • "In progress of collection" by a red bookmark

  • "Awaiting validation" by a clock

  • "To be corrected" by a red exclamation point

  • "Validated" by a green check.

To identify data that are in the status "To be corrected", you can sort the status column by clicking on the column name. The validated data then refused will be highlighted during the sort.

By entering the data, the collector will have the explanation of the refusal and can correct the data.

Important point: modifying the status of the data as a pilot does not generate a notification to the collector! The collector sees if any data has been refused by logging into the tool and checking for themselves if the data they collected is validated. Similarly, the corrector is not notified, and must therefore check the "Verification" panel regularly to validate the data.

How to validate or refuse data

You will be able to validate or refuse data in 3 ways:

  1. By validating the data directly on the list view, it will also be possible for you to add a quick comment.

  2. By entering the data by clicking on the eye at the end of the line. You will then have access to the validation or refusal of the data while being able to add a comment.

  3. By selecting multiple pieces of data, then pressing the validate or refuse button. The "select all" button is located next to the column "Axis>Issue".

Data that has the status "Validated" cannot be modified by contributors. Only the pilot can modify data with the status "Validated" from the validation area. It is possible in the validation form of a data to deactivate the validation of the data.

In order to facilitate and easily find the data that are to be validated or refused, it is possible to sort the "Status" column. By pressing the column name, the data awaiting validation will then be highlighted.

ℹ️ Note: When you refuse data, an email will automatically be sent to the person who collected the data. The email will include a redirect link to go directly to the data, and the person will be able to find your comment if you have written one.
