How to open a new collection campaign?

Do you want to create a campaign for a new project or add a new campaign to an existing project? We explain everything here.

When creating a Project, one of the configuration steps is to create a collection campaign.

As a reminder, a collection campaign corresponds to a period during which you have decided to account for your emissions. Generally, a campaign corresponds to a calendar year.


💡 Note: before you can create a campaign, you must add entities to your Project. Without this, you will not be able to create a campaign.


On your project page, you can click on "Campaigns" and then on "Add" to access the campaign configuration screen.

You will need to provide the following information:

- The collection period

- The reference period

- The end date of analysis

- The number of FTEs

- The revenue of the Organization

You will then have a summary of your campaign.

ℹ️ Note that these dates are for informational purposes only. Your collection will not automatically stop on the date you provided, nor will the campaign.

Once you click on Add, you will see that the status of your campaign is "In configuration".

This means that the collection has not yet been launched and that you can continue configuring your project (creating tags, adding entities, creating indicators, etc..)
Your collectors will not be able to enter data as the collection is read-only.

To start the collection, you will need to click on the first icon located at the end of the line

This will open a new window, you will have 2 choices:

  • You can uncheck the email sending option and thus maintain control over communication with your collectors.

  • You can send an email to all collectors on the project to inform them that the collection is open, and if you wish, you can personalize a message (a mail template is already provided and will be sent if you do not enter a personalized message).

Once you confirm your choice, your campaign changes to "In collection" status.

Your collectors can now enter the values of the data to be collected, the collection is launched 🎉

Once your collection is completed, you will need to go to the same place and click again on the icon to close the collection.
The status of your campaign will change to "Collection completed", and the collection table will automatically switch to read-only mode to prevent any data modifications.

You will again have the choice to send a personalized message or not to your teams to inform them of the end of the collection.

💡Note: The button to start and close the collection is dynamic with the dates you entered in your campaign configuration.
This means that if you start/close the collection on different dates than originally planned, it will automatically adjust to your actions via this button.

ℹ️ In addition to these email notifications, there are 2 reminders that will be automatically sent by us:

  • Weekly reminder

    Every Monday, the Pilots will receive a progress report on the open campaigns that are in the "In collection" status.
    The email includes the % progress and a link to redirect to the verification module.

  • Monthly reminder

    On the 1st of each month, all collectors assigned to a project with a campaign "In collection" will receive an email to inform them of the progress of the collection.

⚠️ These weekly and monthly reminders will continue to be sent as long as you have not closed your collection ⚠️
