How to use the import feature?

Updated over a month ago

In the tool you have the option to import or modify in bulk certain items listed below:

  • The value of the data

  • the availability of a data point (yes/no)

  • The explanation of the entry (text format)

  • The status (completed, in the process of collection, to be completed)

  • The reliability of a data point (0-100)

Modifications must be made on the spreadsheet, downloaded through the data collection export (👉 How to export my filtered or unfiltered data to an Excel file?)

Starting from this file you will just need to modify the values of the data.

You will only be able to modify the items listed above, which are the columns represented in green in the spreadsheet ⬇️

Once your spreadsheet is filled, the import is done from the Collection table using the "Import" button

Then you just need to search for your file on your computer and select it to import.

💡 Some best practices before importing your data:

  • If you wish to copy and paste between multiple tables, remember to copy as values to avoid corrupting the file.

  • The language of your table must match the language of your profile in the tool (for example, if the header of your table is in English, the language of your profile must also be English in order to import the file).

  • Check for #N/A.

  • Enter the status ‘Completed’ on all completed lines in the ‘Status’ column.

  • For unavailable data, leave the ‘Value’ field blank and enter ‘<0>Yes0>’ in the ‘<0>Data unavailable0>’ field.

  • In the ‘Value’ column, you can enter a maximum of 3 digits after the decimal point.

  • Remember to set your ‘Value’ column to ‘Number’ format.

  • Remove the empty lines at the end of your file.

  • Import only what you wish to modify. If you wish to modify the values of a category, you can import only the data for that category and not the entire collection.

  • Beware of errors between two campaigns.

For example, if you export the 2023 collection in order to have the spreadsheet template so that you can then make changes and import them into the 2024 collection, it will not work. The data IDs between the two campaigns are different, and we will not be able to match them.

⚠️ Warning, the import feature has the capacity to overwrite all data of a project. We must be particularly vigilant with this feature.

We recommend downloading and keeping a copy of the collection before your import.
