To facilitate information gathering, we have integrated a feature called external questionnaire into the tool to allow users:
to receive assistance from the tool at this stage
to centralise responses for consolidation (gathering and displaying responses via xls export)
to question external stakeholders to the tool (employees, suppliers, etc.)
The advantage of this feature is that it enables the centralisation of all information in one place and the ability to query individuals who do not have access to Toovalu.
The configuration of the questionnaires is available in the Admin section (red banner) and the results will be visible in the operational part of the tool (green banner), Collection.
It must be noted that this feature is a third-party white label tool that we have integrated into Toovalu.
Questionnaire Configuration
In your project, you have a tab called "Questionnaire"
You will arrive at a dashboard that will group all the questionnaires you will create.
You must then click on the button "Add a questionnaire"
On this new page, you need to provide several pieces of information:
The name of your questionnaire
Template Questionnaire: We offer you a library of templates.
The questions are already created but you can personalise them.
If you do not wish to use a template, you must select "No template". It will be up to you to create your questionnaire entirely from A to Z.
ℹ️ Once the template is chosen and your questionnaire is saved, you will no longer be able to modify it.
You will need to recreate a new questionnaire if you wish to start from another template.Questionnaire Type: You need to select who the questionnaire is aimed at
Campaign: Select the campaign for your project for which you wish to question stakeholders.
Number of recipients: This information will allow you to track the response rate of the questionnaire.
Status: They are changeable, you have the option to modify them manually after creation:
Draft: You are still constructing your questionnaire; no one can respond.
Open: the questionnaire is ready and available for respondents.
Closed: No one can respond. You know that all respondents have been able to answer your survey.
Note: multilingual capabilities are available on this creation page, so you can enter translations in the corresponding tabs.
Once your questionnaire is created, you will arrive on the editing page.
If you have selected a template, you will only need to customise the description text and the questions already present.
In all cases, you have the authority to modify the type of questions but also to delete or add them if necessary.
Questionnaire Editing
The left menu allows you to choose the type of question you wish to add to your questionnaire.
By clicking on the type of question, it is automatically added at the end of the questionnaire. You will be able to modify or delete it if necessary.
For clarity, your questionnaire can be divided into pages. The pages group several questions of the same theme.
To add a page, simply go to the bottom of the survey, where you can enter a title and add one or more questions.
💡When you select a question, you have all the parameters of that question available and modifiable on the right panel.
At the top part of the survey, several tabs are available:
Test the survey: allows you to have an overview of the questionnaire you are building.
Condition: allows you to add conditions to questions (show/hide questions; make another question mandatory based on a response, etc.)
JSON Editor: allows you to view the code of the questionnaire and duplicate a questionnaire from one project to another.
Translation: allows you to translate your questions into different languages
The menu on the right side of the screen allows you to manage the configuration of the survey (navigation between questions and pages, logo, triggers, etc.)
Once you have finished building your survey, you need to click on the back button to return to the dashboard.
You can see that your questionnaire is properly saved with all the information you defined.
To share it, simply copy the link and send it on your behalf.
Do not forget to change the status to "Open"; otherwise, respondents will not be able to access it.
At any time, you can return to the editing screen via the button to the left of the title.
Results Consultation
To consult the results of your questionnaire, you need to go to the operational side (green banner of the tool), in the Collection.
Once in the collection, you must click on the Questionnaires tab, and you will find the questionnaires you have saved. From here, you can track the response rate based on the number of recipients you have recorded in your questionnaires' information.
To consult the responses, you have two options:
export the responses in .xls format
view the responses directly in the tool (you will then have a detailed view per question)
What to remember regarding the questionnaire
From the dashboard, you can duplicate an already created questionnaire (and for example only modify the campaign)
Individuals who do not have access to Toovalu can respond to it.
The questionnaires are created at the project level. To duplicate a questionnaire from one project to another, you need to copy/paste the JSON code in the corresponding tab.
You can export the responses to a spreadsheet for consolidation
The status of the questionnaire can be modified even after collecting responses.
If you translate your questions, they will automatically display in the respondent's browser language. If their language is not translated, the questions will display in the default language of the questionnaire.
You can select a question of type "Entities".
It is linked with all entities recorded on the project. That is to say, they will automatically appear in the answer choice options
