How to add/remove a member to my organization?

Add a new user

As a pilot, you have the option to add new members to your organization. To do this, you must go to your organization's homepage and then click on the members list.

You can then click on "Add a member".

You can then fill in the name, email, organization, and the member's language that you want to add. At the end of this step, an email will be sent to the member in question so they can create their access.

💡Good to know: the link that will be sent will be valid for 24h only.

Then you will be able to grant permissions in the tool to this new person.
Here are the different types of access you can grant:

  • Global pilot:

    Pilots have access to the Admin section + the Tool section of Toovalu.
    They are the ones who have the ability to set up projects (creating tags, adding entities, etc.) on which the organization is currently working.

    They have the option to create new members and define their permissions (Pilot access, Collector access, assignment to a project or a Tag, etc.)

  • Project pilot:

    As the name suggests, the Project Pilot will have access to the administration section but only for the projects assigned to them.
    They will be able to modify the template, create new emission factors, create a campaign, etc.
    In terms of the tool, they will also have access only to the projects that have been assigned to them.
    Unlike the Global Pilot role, they will not have access to the settings of the main organization (adding/modifying/deleting members, creating projects, etc.).
    It is the Global Pilot who will assign the projects they will be responsible for.

  • Collector:

    These are the individuals who only have access to the operational side of the tool.
    As the name suggests, they are primarily responsible for collecting the organization's data. In other words, they must fill in the values in the collection table, but they also have access to other modules of the tool.
    If necessary, Collectors can be assigned to one or more Projects and one or more Tags to limit data visibility.

    It is the Pilot who is responsible for defining the permissions of the Collectors within their Organization.

  • Verifier:
    The Verifier role grants access to the Verification module available in the tool section (How to use the Verification module?).
    Historically, only Pilots had access to this module. Thus, this is an advanced Collector role as the person will be able to validate or reject data.

    This role can be restricted by tags and/or entities and it does not grant access to the Admin section and project settings.

  • Partner:
    Partners in the tool have a role similar to that of the Global Pilot.
    They have access to the Admin section + the Tool section, but with the particularity of having access to the different organizations they support from the Admin home page.

  • Reader:
    The Reader role is limited to reading the results from the Tool section.
    No collection or setup operations can be performed with this role.
    Most often, this role is assigned to the Auditors of the Organizations.
    As with the Collectors, Readers can be assigned to one or more Projects and one or more Tags to restrict data visibility.

Remove a member


To remove access from one of your members, you need to click on the trash icon in the list of members of your organization.


You will then just need to confirm your choice by entering the email address of the member in question.


⚠️ Attention this action is irreversible. You will need to create a new member if you accidentally delete the access of one of your colleagues.
